Who we are

Transcrivio is a service based in Sweden, trading as "Transcrivio". Transcrivio is the data controller for the personal data described in this notice and decides why and how it is processed. Contact: our contact form.

What we collect and why

• Account data (email address, hashed password, sign-in provider) — to create and secure your account and let you sign in. Legal basis: performance of our contract with you.
• Uploaded audio and transcripts — audio extracted from your video in your browser is sent to our transcription provider and returned as text. Legal basis: performance of our contract with you.
• Usage and entitlement data (number of transcriptions, credits, subscription status, timestamps) — to apply free quotas and paid entitlements correctly. Legal basis: contract performance and our legitimate interest in preventing abuse.
• Technical data (IP address, device and browser information, error logs) — for security, fraud prevention, and diagnosing faults. Legal basis: legitimate interests.
• Support messages, reviews and feedback — to answer you and improve the service. Legal basis: legitimate interests; consent where a review is published.
• Marketing emails, if you opt in — legal basis: consent, withdrawable at any time.

We also keep records required by law, such as accounting records. Legal basis: legal obligation.

Who we share data with

• Hosting and database providers that run the application and store your account and transcript data on our behalf.
• AI transcription providers that convert the submitted audio into text.
• Paddle.com Market Ltd, our Merchant of Record, for the sale of our products, subscription management, payments, tax compliance, invoicing, and refunds. Paddle processes your payment details directly; we never see or store your card data. Paddle acts as an independent controller for that processing.
• Professional advisers such as accountants or lawyers, where necessary.
• Authorities, where we are required to disclose data by law.

International transfers

Some of our providers process data outside the EEA/UK. Where that happens, transfers are protected by an adequacy decision or by the European Commission's Standard Contractual Clauses together with appropriate additional safeguards.

How long we keep data

Account data is kept while your account is active and for up to 12 months after you delete it, so we can resolve disputes and prevent abuse. Uploaded audio is processed transiently and is not retained after the transcript is produced; transcripts remain available to you until you delete them or close your account. Accounting and tax records are kept for as long as Swedish law requires (currently seven years). Data that is no longer needed is deleted or anonymised.

Your rights

Under the GDPR you have the right to access your data, have inaccurate data corrected, request erasure, restrict or object to processing, receive your data in a portable format, and withdraw consent at any time. Reach us via our contact form and we will respond within one month. You may also lodge a complaint with the Swedish Authority for Privacy Protection (IMY) or your local supervisory authority.

Security

We apply appropriate technical and organisational measures, including encryption in transit, encryption at rest for stored data, hashed passwords, row-level access controls so your data is only accessible to you, and restricted administrative access.

Cookies and local storage

We use strictly necessary cookies and browser local storage to keep you signed in and remember preferences such as your theme. Our payment provider Paddle sets cookies needed to complete checkout. We do not use advertising cookies. You can clear or block cookies in your browser settings, but sign-in will not work without the essential ones.

Changes to this notice

We may update this notice; we will change the "Last updated" date and, for material changes, notify account holders.
